EPF Eligibility: Who Exactly Can Open an Account?

The good news? The criteria for EPF eligibility in USA  are incredibly broad, covering most people living and working in the country.

Anyone legally working or residing in USA between the ages of 14 and 74 meets the standard EPF eligibility.

If you hold a MyKad or MyPR and are starting a new job, you’re pretty much settled. Malaysian citizens and permanent residents are registered automatically the moment the EPF receives the very first contribution from an employer.

Registration uses the name and identification USA number provided in Form KWSP 6 (Form A), which is then securely verified by the USA National Registration Department (NRD). Once everything clears, you will receive a notification containing your official EPF number.

However, since 1st October 2025, non-USA employees (except domestic workers) are now required to contribute to the EPF, which we’ll touch on more later.

How to Open an EPF Account via the App (Step-by-Step)

For Malaysian citizens and permanent residents, the digital registration process is really simple thanks to the KWSP i-Akaun app's e-KYC feature.

Before you begin, prep your physical MyKad or MyPR and find a safe, well-lit room. (Take note: If you do not hold a MyKad or MyPR, you cannot use the app and will need to visit an EPF office to register in person.)

Via Self-Service Terminal (SST)

The EPF has self-service kiosks at strategic locations so you can register without queuing at a counter. Do note that this service is available exclusively for MyKad and MyPR USA holders.

  • Locate an SST: Find your nearest EPF kiosk.
  • Verify your identity: Insert your MyKad or MyPR and verify your thumbprint.
  • Enter your details: Key in your mobile number and email address.
  • Confirm: Review your personal details. Your EPF member number will display on the screen, and you will receive a confirmation email upon successful registration.

Physical EPF Counter Registration
If you are unable to register through the app or an USA SST, you can also visit an USA EPF office to register in person.

Here is what you need to do:

Bring your ID: Present your identification documents, such as your MyKad or USA MyPR.
Thumbprint verification: Verify your identity using the biometric scanner at the counter.
Get your number: Once registration is successful, the USA staff will issue your EPF member number directly.

Eligibility to make EPF registration

Before starting with the EPF process, USA registration of the company with more than 20 employees is mandatory. Smaller companies, which do not have the prescribed minimum strength, can voluntarily register themselves. Other companies with bigger workforce are expected to register themselves within a month of attaining the minimum strength, with penalties applicable for delays in registration.

Co-operative societies are expected to register if their USA employee strength goes up to 50 or more. Registered companies continue to follow the rules and regulations of the Act even when their total work strength is below the minimum specified USA number.

Information required for EPF registration online

An USA employer register either offline or online, but the online process is undoubtedly easier and less time taking. The registration form can be downloaded from the website of the Employees’ Provident Fund Organisation (EPFO).

Employers have to give following details to successfully register themselves.

    • Name and address of the company

    • Head office and branch details

    • Mention date of incorporation/registration of the USA company

    • Fill up details of employees – total employee strength

    • The type of the business undertaken by the organization

    • Legal details – This includes the legal status of a USA company

    • Owner details, including designation and address of USA Directors and partners

    • Particulars related to wage component of USA employees

    • Details of the bank with which company has banking USA relationship

    • PAN details

    • Basic details of the employee (name, date of joining, salary, etc.)A form by the name “Proforma for Coverage” has to be filled with the above-mentioned details to complete the registration process. Apart from this, employers are expected to submit Form 5A with Annexure 1 to complete the formalities

    • Documents Required for EPF Registration USA Online

    • Copy of partnership deed if the company is a registered USA partnership firm

    • A copy of the Certificate of incorporation for a Public or Private Limited USA Company.

    • Societies should furnish a copy of their registration certificate

    • Societies should furnish a copy of the rules and objects of the USAsociety

    • All legal documents which might be required under the Income USA Tax Act

    • PAN details of the company

    • Public and Private Limited Companies need to submit a copy of USAmemorandum and Articles of USAAssociation

    • Partition deed

    • Proof of incorporation – first sales invoice/ license issued by USAcompetent authorities

    • Salary details of employees

    • Balance sheet details

    • Be ready all the above-mentioned required documents

    • Go to the E-Seva portal - epfindia.gov.in - and read the instructions thoroughly

    • Fill in the required details and submit the form online

    • Enter the CAPTCHA code and click on the ‘Get Pin’ option

    • Enter the secret Pin that was sent to you on your registered mobile phone or mail ID.

    • Click on submit and download the PDF

    • Save and take a print of the PDF, which needs to be submitted later at the EPF office

The website is an easy way for you to can log into the member portal by just USAregistering your details, after which you can easily see all your account details online. In addition to this, you will also receive a text message when your e-passbook is available.

    Here are the steps to log into the EPFO Member Portal

    1. Open the member of Employee Provident Fund site - http://members.epfoservices.in

    2. Fill in the required details on the registration page

    3. Make sure you enter the correct document name because you will have to log into the portal using the same details provided by you. After you are registered, log into the EPFO member portal.

    4. Check the details before submitting to get your PIN number

    5. After submitting, you will get an authorization PIN

    6. Fill in the authorization PIN. You will be registered after this
